As we care deeply about the privacy of our users, this Privacy Policy is intended to inform you about how we collect and process personal data at POLAR CARE d.o.o. The Policy is written in clear and straightforward language.
We have also appointed a Data Protection Officer whom you may contact with any questions or complaints regarding our privacy policy or handling of personal data.

Data Collection
Personal data is any information that can identify an individual. An identifiable individual is one who can be identified directly or indirectly, especially using identifiers such as name, identification number, location data, online identifier, or one or more factors specific to the physical, physiological, genetic, mental, economic, cultural, or social identity of that individual.

Who is responsible for the security of your personal data?
POLAR CARE d.o.o. is responsible for the security of the personal data it collects. We act as a data controller and, in certain cases, as a data processor based on a contractual relationship with you. To safeguard your personal data and ensure you can exercise your data subject rights, data may be shared with individuals and/or legal entities we collaborate with based on our contractual or legal obligations (e.g. accounting services, legal advisors, public authorities).

What personal data do we process?

• data needed to enter into a contract and maintain contact, such as full name, parent’s name, date and place of birth, ID type and number, address of residence, personal identification number, gender, nationality, profession/job title, mailing address, photographs, landline and mobile phone numbers, fax number, and email address;
• data related to invoicing and payment processing;
• additional information required for fulfilling contractual obligations or voluntarily provided by you, such as instructions, specific requests, resumes, etc.;
• publicly available information from official records and registries gathered independently of our actions;
• details of our communications with you (written correspondence, recorded conversations) necessary to fulfill contractual obligations.

How do we collect personal data?

• when collecting data is necessary for establishing and executing a contractual relationship;
• when you contact us directly via email or through the contact form on our website https://www.fertility-men.com, or through our employees with the intention of establishing a business relationship or expressing interest in our services, especially when placing an order;
• when our employees contact you to initiate a business relationship or express such interest;
• for the purpose of distributing promotional materials and advertising our products and services;
• in certain cases, we may collect your personal data from third parties, such as legal entities you're associated with, business partners of those entities, and public registries and records.

Are you required to provide personal data?
Generally, providing personal data is voluntary; there are usually no adverse consequences if you choose not to share your data. However, some data is required by law or for business purposes (e.g. for invoicing). Certain services, such as promotional campaigns (e.g. newsletter), also require specific personal data, which you can revoke at any time.

Any given consent can be withdrawn in writing at any time. Oral withdrawal will be accepted when justified circumstances prevent written communication.

Please note that in some cases, POLAR CARE d.o.o. may not be able to provide services or take legal action without your personal data, particularly when such data is essential for fulfilling a contract, processing your requests, or sending promotional materials.

Where you have explicitly given consent, your personal data may also be processed for:

We will only send you marketing communications for which you have given consent, and only for as long as the consent is valid. We will not use your data for profiling or other actions not described here.

We may share data with external partners such as law firms, accounting services, tax advisors, financial institutions, business partners necessary to fulfill contract terms, debt collection agencies, and public authorities when legally required.

We may also share your personal data with third parties who have acquired rights under a contract with you.

We may instruct third parties to process your data on our behalf and under our instructions. In such cases, POLAR CARE d.o.o. remains fully responsible for the confidentiality and security of your data and will ensure compliance with all applicable regulations.

We may use your data for statistical purposes to analyze website visits and improve our services.

In all other cases, your data will be shared only with your explicit consent, where legally required, or when mandated by a court or public authority.

Third-party personal data you provide to us

How long do we keep your personal data?
Your personal data will be deleted when no longer reasonably necessary for the purposes it was collected for, or when you withdraw your consent—unless we are required by law to retain it. Data may be kept as long as needed for the execution of contractual rights and obligations, including debt recovery.

• (iii) right to obtain information about the data we process;
• (iv) right to request a copy of your personal data;
• (v) right to request correction or restriction of processing;

We may ask you to verify your identity by providing a valid copy of an ID to comply with legal requirements and prevent unauthorized disclosure. If you are not satisfied with our response, you may file a complaint with the competent data protection authority (Croatian Personal Data Protection Agency, http://azop.hr/). We will provide updated contact details upon request.

POLAR CARE d.o.o. reserves the right to amend this Privacy Policy as necessary to reflect changes in data processing practices or legal obligations. Any changes will be published on our website or by other appropriate means. Changes take effect on the date of publication.
